Reports to: Chief Financial Officer
Classification: Non-Exempt
Time Commitment: Full-time
Position Summary
The Accounts Payable (AP) Clerk plays a vital role in supporting the finance department by ensuring accurate and timely processing of financial transactions. This position is responsible for maintaining organized financial records, assisting with accounts payable and receivable, and reconciling statements to support overall accounting operations. The role requires attention to detail and a strong understanding of basic accounting principles to help maintain compliance and financial accuracy. The Accounts Payable Clerk will collaborate closely with other team members to streamline processes and contribute to the preparation of financial reports. Ultimately, this position helps ensure the financial integrity and efficiency of the organization's accounting functions.
Essential Functions
- Daily enter key data of financial transactions in database.
- Typing accurately, preparing and maintaining accounting documents and records.
- Compile data and prepare a variety of reports.
- Reconcile records with internal company employees and management, or external vendors or customers in a timely manner.
- Recommend actions to resolve discrepancies.
- Verifying the accuracy of invoices and other accounting documents or records.
- Research, track and restore accounting or documentation problems and discrepancies.
- Update and maintain accounting journals, ledgers and other records detailing financial business transactions (e.g., disbursements, expense vouchers, receipts, accounts payable).
- Prepare bank deposits, general ledger postings and statements.
- Provide assistance and support to company personnel.
- Inform management and compile reports/summaries on activity areas.
- Function in accordance with established standards, procedures and applicable laws.
- Constantly update job knowledge.
- Ability to advance to further roles within the organization.
- Other duties as assigned.

- Attention to detail and ability to complete required reports on a timely basis.

- Ability to maintain strict confidentiality on company information.
- High systems aptitude; knowledgeable in desktop hardware, software applications, operating systems and network connectivity.
Minimum Qualifications
- U.S. citizenship.
- High School Diploma with at least 3 years AP experience, preferably with Accounts Receivable experience as well.
- Ability to successfully pass a background check and drug test.
- Familiarity with bookkeeping and basic accounting procedures.
- Hands-on experience with spreadsheets and financial reports.
- Basic understanding of accounting principles and financial terminology.
- Proficiency in Microsoft Office Suite, especially Excel.
- Experience with accounting software.
- Strong organizational skills and attention to detail.
Preferred Qualifications
- Associates Degree in Business or Accounting.
- 5 or more years of accounting experience as an AR/AP Clerk.

Physical Requirements
- This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, multi-function printers and smartphones.
- While performing the duties of this job, the employee is regularly required to talk or listen. Specific vision abilities required by this job include close vision and ability to adjust focus. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
