HR Specialist – EXEMPT
TERMS OF EMPLOYMENT
Hours: 8 hrs/day; 260 days/yr
Pay: $36.28-$43.50
Supervisor: Executive Director of Employee Services
Closes: Open until filled
QUALIFICATIONS:
1. High school graduate with college or business college training in secretarial services.
2. Four years' previous experience as a lead secretary or administrative assistant and ability to demonstrate thorough knowledge of accepted business methods, practices, and procedures.
3. Thorough knowledge of business writing, including correct format, punctuation, grammar, and usage.
4. Proficiency in use of office equipment including personal computers utilizing a wide variety of software processing, data base, and spreadsheet applications.
5. Proven ability to work collaboratively and successfully with staff and outside agencies to provide excellent customer service.
6. Successful experience keeping detailed records with accuracy.
7. Ability to meet strict deadlines and work under considerable pressure.
8. Must be able to pass the following tests:
- Applied Math
- Microsoft Excel
- Microsoft Word
- Typing at a rate of 50 net words per minute
9. Must be able to demonstrate proficiency in the use of Skyward within twenty (20) workdays.
10. Must have a proven record of punctuality, dependability, and consistent attendance.
ESSENTIAL JOB FUNCTIONS:
1. Serve as a confidential administrative assistant to the Director of Human Resources.
2. Demonstrate knowledge of good secretarial methods, practices, and procedures, including the ability to compose business correspondence using proper business letter format.
3. Demonstrate a thorough knowledge of correct punctuation, grammar, and excellent proofreading skills.
4. Demonstrate correct written and oral language in all communications using good verbal expression.
5. Maintain personnel files.
6. Work closely with administrators to identify building budget allocations and produce monthly allocation updates.
7. Manage complex data management; make monthly exports to Payroll for employee assignment changes.
8. Provide employee data for human resources budget development.
9. Provide employee data for mandatory state and federal reporting.
10. Provide data as needed for meetings, reports, and collective bargaining negotiations.
11. Draft collective bargaining language for negotiations and prepare counter proposals for collective bargaining units.
12. Update and prepare the collective bargaining agreements for printing and distribution.
13. Interpret, communicate, and apply collective bargaining agreements.
14. Maintain required documentation for staff certifications.
15. Process tuition reimbursement and manage tuition reimbursement funds.
16. Generate employment authorizations, letters of agreement, and contracts for employees.
17. Prepare job postings.
18. Coordinate and proctor employment testing.
19. Submit and track results of background checks and fingerprints for new employees.
20. Maintain current labor law posters.
21. Prepare surveys, questionnaires, and employment verifications.
22. Transcribe dictation of various types, including correspondence, reports, evaluations, Loudermill/Weingarten and grievance hearings.
23. Provide support for union grievances, disciplinary hearings, and plans of assistance.
24. Fulfill legal and compliance responsibilities, including NCLB, employee leaves, annual assurance, fingerprinting, EEOC, S-275, SIRS, etc.
25. Other such job-related duties as may be assigned.
