Description
Job Title: Junior Project Management Officer - Compliance & Regulatory Change, 60%Contract Type: Fixed Term Contract (8 Months) with possibility for extension
Reports To: Senior Manager, Compliance
Role Overview
We are seeking a detail-oriented and proactive Junior Project Management Officer to support our Compliance function in implementing a regulatory project on a 6-month fixed-term basis. The successful candidate will provide hands-on project coordination and operational support across compliance and regulatory change initiatives, while also serving as a backup resource to the Senior Manager, Compliance on day-to-day compliance matters. This role suits someone who thrives working in a start up style environment, that is flexible, a team player, is comfortable managing multiple workstreams, and brings practical knowledge of Swiss compliance and regulatory frameworks. FINMA regulatory requirements and experience working with/at an Asset or Investment Manager are a must have requirement.
Key Responsibilities
Project Management & Operations
- Maintain and manage project plans, trackers, and action logs across compliance and regulatory change initiatives, ensuring deadlines and milestones are met
- Coordinate meetings, prepare agendas, take minutes, and follow up on action items for compliance, risk, and operations committee meetings
- Produce status reports, dashboards, and progress updates for senior stakeholders
- Identify project risks, issues, and dependencies, escalating where appropriate
- Support the organisation and running of working groups and cross-functional project meetings
- Assist in the preparation of committee papers and presentations for Steering Committees and C Suite update meetings
- Maintain organised records, documentation, and filing systems in line with governance standards
- Coordinate with internal teams (legal, risk, operations, IT) to ensure smooth delivery of compliance-related projects
Compliance & Regulatory Change Support
- Provide backup compliance assistance to the Senior Manager, Compliance during periods of high demand or absence
- Monitor regulatory developments and horizon scanning updates, summarising key changes and their potential impact on the business
- Assist in the documentation, review and maintenance of compliance policies, procedures, and frameworks and possibly with investment related topics
- Assist with the preparation of regulatory submissions, responses, and correspondence as required
- Help coordinate compliance monitoring, testing activities, and issue remediation tracking
- Support training coordination and completion tracking for compliance-related programmes
- Assist with the management of various compliance and risk related documents e.g. incident registers, conflict of interest registers.
Skills & Experience Required
- Demonstrated experience working in a project team as a Project Manager Officer for an Asset or Investment Manager (either family office or as part of a bank) in a compliance, regulatory change, or operations related project role within a FINMA regulated environment. Minimum of 3-5 years experience preferred
- Strong project coordination or project management skills, with the ability to manage multiple priorities simultaneously
- Solid understanding of compliance frameworks, regulatory requirements, and change management processes
- Ability to use Miro or other process mapping software to document processes and additionally experience documenting policies and procedure manuals
- Experience preparing committee papers, reports, and management information
- Excellent written and verbal communication skills, with the ability to present complex information clearly
- High attention to detail and strong organisational skills
- Proficient in Microsoft Office (Excel, PowerPoint, Word)
- Ability to work independently and use initiative while escalating appropriately
- Team player - as we are a small, privately owned company, we sometimes have to jump into different areas to meet a common goal so flexibility and open mindedness are key
