Job Overview
We are seeking a highly organized, accountable, and proactive Project Coordinator to support the delivery of our internal products and client-facing projects. This role goes beyond basic coordination. The successful candidate must demonstrate strong requirements analysis, structured execution, stakeholder management, and the ability to drive work across internal and external teams without constant supervision.
This position supports both project and product execution, ensuring that requirements are well-defined, implementation is followed through end-to-end, and communication remains clear across all parties. The ideal candidate must be comfortable interacting with clients, resolving issues independently, and ensuring that projects move with discipline and predictability.
Key Responsibilities:
- Coordinate day-to-day project activities and ensure delivery against the approved plan, timelines, and scope.
- Support project leads in planning, scheduling, and tracking project milestones.
- Monitor progress across teams and follow up consistently to close gaps and clear blockers.
- Maintain updated project dashboards, reports, and documentation.
- Work with clients, product owners, and internal teams to gather, clarify, and document business and functional requirements.
- Ensure requirements are translated accurately to development and QA teams.
- Maintain clear change logs and version control for requirements.
- Act as a central communication point between clients, developers, QA, operations, and management.
- Issue weekly project updates, meeting notes, and action trackers.
- Escalate risks early and ensure decisions are documented and communicated.
- Support sprint planning, daily check-ins, and review sessions.
- Track tasks in Jira and ensure developers and QA update their work items.
- Ensure testing is aligned to requirements and that issues are retested and closed properly.
- Verify deliverables against requirements before client handover.
- Coordinate UAT with clients and ensure feedback is logged and addressed.
- Support deployment planning, go-live coordination, and post-implementation reviews.
- Identify recurring delays, gaps, or inefficiencies and propose practical improvements.
- Strengthen team discipline around documentation, communication, and accountability.
Key Performance Indicators
- Milestones and tasks delivered within agreed timelines
- Timely updates and responses to internal teams and clients.
- Accurate and up-to-date documentation for all assigned projects.
- Adherence to documentation standards and templates.
- Weekly status reports issued consistently and on time.
- Proper and consistent updating of Jira and project trackers
- Effective coordination between Product, Dev, QA, and Operations to unblock progress.
Requirements
Qualifications
- Bachelor's degree in IT, Business, Project Management, Computer Science, or a related field.
- 3-4 years of hands-on experience in project coordination, product coordination, or software delivery environments.
- Familiarity with project management software (e.g., Jira) and proficiency in MS Office (Excel, PowerPoint, Word).
- Working knowledge of Agile practices, sprint planning, and backlog management.
- Strong analytical and problem-solving skills, with the ability to foresee risks and propose solutions early.
- High proficiency in Jira, Confluence, or similar project management tools.
- Excellent communication skills for internal and client-facing engagements.
- Demonstrated ability to manage multiple projects at once with strong attention to detail.
- Experience working with cross-functional teams (Product, Dev, QA, Operations).
- Strong sense of ownership, follow-through, and accountability.
