Responsibilities
The Senior Payroll Specialist role is responsible for the accurate preparation, documentation, and reconciliation of payroll the administration of the organization's payroll system.
Scope of Role Responsibilities
Essential, key job responsibilities for this role include, but are not limited to:
- Accurately process payroll and coordinate related finance entries.
- Audit timesheets and payroll data to identify and correct discrepancies.
- Process pay adjustments for errors and retroactive changes.
- Close out payroll by finalizing timesheet transactions each pay period.
- Collaborate with sales, service delivery, and executive leadership on payroll matters.
- Resolve employee payroll inquiries promptly and professionally.
- Manage garnishments and maintain supporting documentation.
- Approve direct deposit setups in Dayforce and employee changes.
- Maintain up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understand and follow applicable regulations.
- Set up payroll for new operating states and local jurisdictions.
- Respond to federal, state, and local tax notices.
- Handle employment verifications not completed by third-party services.
- Support commission and variable pay calculations and batch uploads.
Additional job responsibilities include, but are not limited to:
- Develop, maintain and present payroll summary, on-demand and regular payroll reports.
- Demonstrate thorough understand of prevailing wage requirements and certified payroll processes.
- Support payroll integration and transition activities during mergers and acquisitions, ensuring continuity, compliance, and data integrity across legacy and systems.
Qualifications
Role Qualifications and Requirements
The following are minimum qualifications and requirements required for this role:
- Proficient in Dayforce and Microsoft Office (Excel, Word, Outlook, PowerPoint)
- Familiarity with benefits administration and company payroll/time policies
- Associate degree preferred; 35 years of payroll experience required.
- Solid understanding of FLSA, multi-state wage laws, and evolving compensation regulations
- Highly organized, meticulous, and skilled in payroll calculations
- Strong multitasking abilities in fast-paced, deadline-driven environments
- Effective communicator with excellent writing and people skills
- Initiative-taker and collaborative team player with minimal need for follow-up
- Skilled in resolving payroll issues and handling employment disputes.
The following qualifications are ideal, but not required:
- Experience with prevailing wage and certified payrolls
- Project management skills.
Travel: 2x yearly for team meetings
