Summary/Objective:
The Service Dispatcher is responsible for coordinating, scheduling, and managing daily service operations for the HVAC and Electrical Service Department. This role ensures timely dispatching of technicians, accurate work order management, and smooth communication between field staff, customers, and internal teams. The Service Dispatcher plays a key role in optimizing technician schedules, maintaining workflow efficiency, and delivering exceptional customer service.

Scheduling & Dispatching
- Schedule comprehensive preventive maintenance (PM) work orders with subcontractors.
- Schedule HVAC and Electrical PM work orders.
- Schedule HVAC and Electrical quoted jobs and emergency work.
- Review all work orders daily to ensure accuracy and completeness.
- Maintain and communicate the monthly On-Call Schedule; distribute updates to technicians and team.
- Provide real-time schedule updates to technicians and superintendent as changes occur.
Work Order & Invoice Management
- Manage work order flow from creation to completion.
- Review open work orders and purchase orders for accuracy and follow-up.
- Code and approve paperless invoices for all Service Department work.
- Assist technicians and superintendents with purchase orders and work orders as needed.
Communication & Coordination
- Act as primary point of contact for service scheduling inquiries from technicians, superintendents, and customers.
- Coordinate with accounting to ensure accurate and timely processing of service-related documentation.
- Communicate scheduling conflicts, customer concerns, and urgent matters to the Service Manager promptly.
Operational Support
- Support service scheduling activities to maximize efficiency and reduce downtime.
- Monitor service group email to ensure prompt response to service requests.
- Provide administrative support to field technicians, including travel arrangements when required.
Competencies:
- Excellent communication and interpersonal skills.
- Strong organizational skills with the ability to manage multiple priorities.
- High attention to detail and accuracy.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office Suite; experience with dispatching or work order management software preferred.
Supervisory Responsibility:
This position has no direct supervisory responsibilities.
Work Environment:
This job operates in an office environment and uses standard office equipment such as computers, phones, and copiers.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to sit, use hands to type, and reach with hands and arms. The employee must occasionally lift and move office products and supplies up to 20 pounds.
Position Type:
This is a full-time position.
Required Education and Experience:
- High School Diploma or equivalent
- 3+ years experience in dispatching, scheduling, or related customer service role.
Preferred Education and Experience:
- HVAC or Electrical service industry experience.
- Understanding of data center critical power and cooling systems
