Description
NACDA, which includes 19 affiliate associations within its membership structure, is seeking a detail-oriented systems and operations professional to serve as the primary administrator of NACDA’s membership CRM, NetForum. This role owns the full lifecycle of membership operations and supports event registration — from database configuration and record accuracy to event-day support and post-event reconciliation — ensuring NACDA and its Affiliate Associations can rely on clean, current, and well-documented member, registration, and billing data.
Requirements
Key Responsibilities
1. NetForum Administration
- Serve as the primary administrator and internal system owner of NetForum.
- Configure and maintain the membership database, pricing structures, user permissions, and event registration setup (when needed).
- Manage system updates (including support ticket submissions), configuration changes, testing, and ongoing maintenance.
- Maintain internal documentation covering system setup, standard processes, and data standards.
- Ability to identify, flag and escalate any issues that arise within modules within the CRM.
2. Membership CRM Management
- Own the full-cycle membership process, including new memberships, renewals, group memberships, and terminations.
- Maintain accurate individual, institutional, and Affiliate Association member records.
- Resolve record discrepancies, duplicate accounts, and access issues.
- Manage a high volume of membership updates while maintaining accuracy and consistency.
- Conduct regular record audits to ensure ongoing data integrity.
- Maintain continuity and institutional knowledge of membership processes, structures, and system configurations.
3. Event Registration Support
- Build and manage event registrations within NetForum and external event platforms as needed.
- Support members with event registrations, invoices, receipts, refunds, and payment issues.
- Serve as the primary system administrator on-site during the NACDA & Affiliates Convention and provide extended availability during major events, as needed.
- Resolve issues related to membership status, walk-up registrations, and check-in.
- Process cancellations and registration changes while preserving record integrity.
- Ensure attendance and transaction records are accurately captured in NetForum.
4. Post-Event Reconciliation
- Reconcile event registrations and payments in coordination with the Events and Finance teams.
- Review and correct post-event registration and membership records.
- Coordinate closely with Association Managers and NACDA staff to resolve membership and registration issues.
- Update processes and documentation based on recurring issues and lessons learned.
5. NetForum Connectors & Integrations
- Manage NetForum connectors supporting membership and event registration processes, including payment and data flow.
- Understanding of General Ledger accounts and basic debit/credit accounting, ensuring transactions applied are coded to the correct accounting entity.
- Monitor system synchronization and troubleshoot integration errors.
- Coordinate with vendors and external IT support as needed.
- Maintain documentation of integrations and CRM dependencies.
6. Internal Support & Training
- Serve as the primary point of contact for staff questions/intern training related to membership and NetForum.
- Respond to routine record updates and access requests, particularly during membership renewal periods.
- Train staff on standard NetForum usage and processes.
- Provide clear guidance to staff on system capabilities and limitations.
Qualifications
Required
- Experience administering a CRM or association management system (AMS) in a professional setting.
- Strong attention to detail and comfort with structured, process-driven work.
- Clear written and verbal communication skills.
- Ability to manage competing priorities and high volumes of detailed work accurately.
- Ability to stay current on system updates and apply problem-solving skills to resolve platform and process issues.
Preferred
- Hands-on experience with comparable association management and event registration systems, with a working knowledge of the Cvent platform.
- Experience working in an association, nonprofit, or membership-based organization.
- Experience with system integrations, connectors, or data synchronization between platforms.
